This Privacy Policy explains how Kairui Bi (“Kairui,” “I,” “me,” or “my”) collects, uses, stores, and discloses personal information when you visit kairuibi.com, contact me, book a consultation, submit a form, make a payment, or engage me for consulting, website development, automation, AI implementation, or related services.
1. Information I may collect
I may collect information you voluntarily provide, including your name, email address, telephone number, business name, business website, industry, preferred contact method, project information, consultation requests, messages, and other information you choose to provide.
If you become a client, I may also receive information reasonably required to perform the agreed services, such as business-process information, account or integration details, technical configurations, project files, and data you authorize me to access.
The website and its service providers may process limited technical information such as IP address, browser type, device information, referring page, pages visited, timestamps, security events, and similar diagnostic information. Do not submit passwords, payment-card details, health information, or other unnecessary sensitive information through the general inquiry form.
2. Why I use information
- to respond to inquiries and determine whether a project is a suitable fit;
- to schedule the free fit call and other requested meetings;
- to prepare recommendations, proposals, statements of work, and invoices;
- to deliver contracted consulting or implementation services;
- to communicate about projects, payments, support, and handoff;
- to operate, secure, troubleshoot, and improve the website and services;
- to maintain reasonable business and financial records and meet applicable obligations.
I will not use client information to train a public AI model or intentionally publish client information, private workflows, results, logos, testimonials, or case studies unless specifically authorized or otherwise permitted by applicable law.
3. Inquiry forms, campaign data, and local storage
The inquiry form is delivered through FormSubmit. A submission may include the page, selected language, referring page, and available UTM campaign parameters so I can understand how the inquiry arrived. FormSubmit sends the submission to my email address and currently provides a time-stamped submission archive for up to 30 days under its own terms and privacy practices. The site also provides a direct email option.
UTM parameters may be retained temporarily in session storage and attached to a later inquiry or booking link. Language and privacy choices are stored in local storage on your device. You can remove these values through browser controls.
4. Scheduling
The booking page embeds and links to Google Appointment Schedule. Google may process information, cookies, and device data when the scheduler loads or when you book. This site may record a booking-page visit or outbound scheduler click, but it does not claim to detect a completed booking inside Google’s cross-origin interface.
5. Payments and financial records
If you enter a paid engagement, an invoice may offer Stripe Payment Link, PayPal, or e-transfer. Stripe and PayPal process payment and account information under their own privacy practices. E-transfer information is processed by the participating financial institutions. I do not ask you to enter payment-card details directly into this website.
I may retain invoices, payment status, transaction references, tax information, and related correspondence as reasonably necessary for accounting, dispute resolution, and legal obligations.
6. AI, automation, and client data
Some projects may involve third-party AI, automation, hosting, analytics, communication, database, or technology providers. The specific services depend on the project. Before material client or customer information is sent to such a service, the intended architecture, information flow, permissions, retention, and appropriate safeguards should be considered as part of scoping.
The website may provide a chatbot hosted through Vercel. Chat messages are processed to answer service questions, scope a request, and route a requested follow-up. When an OpenAI API key is configured, non-contact conversation steps may be sent to OpenAI for summarization, intent classification, or an answer grounded in approved service information. Contact details are parsed separately and are submitted to the configured inquiry provider only after you confirm them. Do not enter passwords, payment information, health information, or other unnecessary sensitive information in the chatbot.
Clients should identify regulated, confidential, health, financial, employment, children’s, or other particularly sensitive information before work begins. I may recommend a different architecture, additional safeguards, specialist advice, or no AI processing where risk is disproportionate to the expected benefit.
7. Service providers and processing locations
I may use service providers for website hosting, form delivery, email, scheduling, video, invoicing and payments, analytics, databases, automation, cloud infrastructure, communication, and AI services. Current website providers may include GitHub Pages, Vercel, FormSubmit, Google, YouTube, OpenAI when configured, Stripe, and PayPal. Optional analytics or advertising providers are described below.
Providers operate under their own terms and privacy practices. Depending on the provider and project, information may be processed or stored outside British Columbia or outside Canada and may be subject to the laws of another jurisdiction.
8. Cookies, analytics, and advertising choices
The site works without optional analytics or marketing tracking. It contains configuration points for Google Analytics and Meta Pixel, but no optional tracker loads unless its identifier has been configured and the corresponding privacy choice has been accepted. Analytics and Marketing are separate choices.
You may decline optional tracking and continue using the site. You can reopen “Privacy choices” in the footer to change or withdraw your selection. Browser or device settings may provide additional controls.
9. Consent and communications
Submitting an inquiry or booking a consultation allows me to communicate with you about that inquiry or requested service. It does not automatically subscribe you to unrelated promotional communications.
If I send optional commercial electronic messages, I will use the consent or other basis available in the circumstances and provide identification and a way to unsubscribe where required. You may withdraw consent or ask me to stop promotional messages by using the method in the message or contacting me.
10. Sharing and disclosure
I do not sell or rent personal information. Information may be handled by service providers where reasonably necessary for the purposes described in this Policy. It may also be disclosed when authorized by you, required by law, necessary to respond to security incidents, or reasonably necessary to protect legal rights.
11. Retention and security
I retain personal information only as long as reasonably necessary for the purpose for which it was collected, to complete an engagement, maintain appropriate business and financial records, resolve disputes, enforce agreements, meet legal obligations, or protect legitimate business interests. When information is no longer reasonably required, I may delete, anonymize, or securely dispose of it, subject to legal and contractual requirements.
I use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information and service. However, no website, email service, cloud system, AI provider, payment platform, integration, or Internet transmission can be guaranteed completely secure. Clients remain responsible for their own systems, accounts, employees, devices, passwords, backups, and access permissions unless a written agreement assigns a specific responsibility to me.
12. Access, correction, and privacy choices
You may contact me to ask about personal information I hold about you or request access to or correction of that information, subject to applicable legal exceptions. You may also request deletion where appropriate or withdraw consent for an optional use. I may need to verify your identity before processing a request.
Privacy law applicable to a particular interaction may include British Columbia’s Personal Information Protection Act and, in some circumstances, Canada’s Personal Information Protection and Electronic Documents Act. Nothing in this Policy limits rights that cannot lawfully be limited.
13. External links and children
The site may link to external websites, demonstrations, repositories, social platforms, publications, booking systems, and other services. I am not responsible for the privacy, security, availability, or content of services I do not control.
If a YouTube link is configured for the Pre-Call Guide or a Builds & Tutorials section, the privacy-enhanced player is loaded only after you choose to play the video. Google and YouTube may then process device, network, and viewing information under their own privacy practices.
The website and services are directed to businesses and adults and are not intended to knowingly collect personal information from children without appropriate authorization.
14. Changes and contact
I may update this Policy as the website, services, providers, or legal obligations change. Material changes to how personal information is handled may require additional notice or consent where applicable. The date above identifies the current version.
